    Position Description


    Purpose: Performs a variety of clerical duties to support the administrative functions associated with the maintenance and operation of the Mobile Equipment Division. Serves as the communication link between field and shop personnel. Reports to the Equipment Superintendent.


    • Answers incoming calls and routes to appropriate person or takes legible and accurate messages when necessary. May answer routine questions or follow-through on routine requests.
    • Accounts Payable: Processes vendor invoices for payment by comparing vendor invoices to Work Orders to verify quantities, material receiving tags, prices, payment terms, extensions, etc., coding invoices for approval, and submitting invoices for payment.
    • Preparing documents for distribution, typing general correspondence, filing, data entry, making copies, etc.
    • Administers Basic Inspection of Terminals (BIT) Program.
    • Processes and verifies daily fuel and lube reports.
    • Updates preventative maintenance reports weekly; notifies appropriate personnel of equipment/service due.
    • Originate and complete mobile equipment work orders.
    • Prepares and processes purchase orders and vendor claim forms.
    • Monitors fuel tank inventory readings: notifies buyer needed to maintain sufficient fuel supply.
    • Prepares monthly reports reflecting oil consumption and inventory usage; prepares monthly mileage report for company vehicles.
    • Types miscellaneous correspondence, documents, and various reports including equipment repair reports.
    • Maintains shop files and reference materials, including equipment files, job location information, equipment rental records, vendor claim log and others.
    • Compiles data and prepares various reports for Winter Repair Program
    • May perform various other duties as assigned by supervisor.

    Basic Qualifications

    Education: High School diploma or GED


    • Minimum 2 years’ experience in construction office/ clerical role or related field.
    • Successful completion of a pre-employment drug, alcohol, and background investigation
    • Valid driver’s license
    • Good working knowledge of various computer software programs including MS Word, Excel, PowerPoint, Outlook. Vista or HCSS Equipment E360 desirable.
    • Must demonstrate strong verbal and written communication skills.
    • Ability to preserve confidential and proprietary information and successfully avoid conflicts-of-interest
    • Knowledge of general office procedures
    • Ability to use personal computer using word and spreadsheet applications
    • Ability to consistently appear for work on time
    • Ability to work authorized overtime as required
    • Demonstrate good organizational skills and time management practices
    • Must demonstrate an ability to work independently as well as in a team environment
